YOUR MISSION
The Customer Service & Order Management Specialist is a key point of contact between customers, internal teams, and external partners. The role ensures high-quality communication, smooth order processing, accurate administrative handling, and reliable follow-up across customer service, logistics, and internal coordination. This position plays a central role in maintaining customer satisfaction while ensuring operational accuracy and compliance.
Key responsibilities
Order & Logistics Management
- Handle the full customer order lifecycle, from order receipt through final delivery.
- Coordinate with supply and logistics teams to confirm delivery addresses and timelines.
- Maintain relationships with transport carriers and oversee shipment arrangements.
- Manage the logistics and administrative aspects of RMA (Return Merchandise Authorization) processes.
- Perform annual closing and reopening of the order process.
Customer Service & First-Line Support
- Answer and manage the company’s generic telephone line.
- Act as first point of contact for customer requests, providing initial support and directing inquiries to the appropriate internal teams.
- Ensure quality follow-up on customer requests through internal coordination.
Customer & Data Administration
- Create, encode, and maintain customer and contact records in the ERP system.
- Ensure accurate documentation, archiving, and data integrity.
- Create and manage customer access to the website download center, ensuring administrative compliance (including NDA validation).
Commercial & Compliance Support
- Follow up on commercial offers sent to customers.
- Handle reporting related to supplier licensing and ensure compliance with internal and external requirements.
Mailings & Communication
- Perform final quality checks on outbound mailings and communications before distribution.
- Manage and monitor generic company mailboxes, including responding to inquiries, setting out-of-office messages, and dispatching emails to the appropriate internal stakeholders.
- Ensure timely and professional communication with customers and partners.
Job requirements
YOUR PROFILE
- Bachelor’s degree or equivalent through relevant professional experience.
- Strong organizational and communication skills.
- Customer-oriented mindset with attention to detail.
- Ability to coordinate across multiple internal departments.
- Comfortable handling administrative, logistical, and customer-facing tasks.
- Experience with ERP systems and order processing is an asset.
Languages :
- English: mandatory (professional working proficiency).
- French: considered a strong asset.
